Shopify access for someone covering a role temporarily

Copying someone's permissions without copying their decision limits creates a person who can act and will not.

Someone covering a role temporarily needs the absent person's permissions and, more importantly, their written decision limits. Granting access without authority produces a cover person who can technically act and asks anyway, which is the situation cover exists to prevent. Both the access and the raised limits should have the same end date.

What this person actually does

Cover is a distinct case from a new hire because the person usually already works for you and already has some access. The change is scope, not existence, which is why it gets handled informally and then never reversed.

The authority half is what makes it work or fail. A cover person with the permissions but not the stated limits will escalate to somebody on holiday, or guess, and both are worse than a written raised limit would have been.

Because it is temporary and usually urgent, this is the role where access most reliably outlives its purpose. Nobody schedules the reversal, and elevated access looks identical to permanent access a month later.

The two layers

Shopify permissions decide what they can do in the admin. The Store Huddle role decides what they see in the workspace. Both are needed, and they are set separately.

Shopify access to grant

Add scope temporarily and write down exactly what you added. Shopify's permission labels change from time to time, so these are described by what they control rather than quoted as exact checkbox names. Check the current names in your own admin.

  • Whatever the covered role requires, and nothing beyond it.
  • A written note of every permission added, which is what makes an exact reversal possible.
  • Raised decision limits with actual numbers, not "use your judgement".
  • Room access matching the covered role, added the same way and removed the same way.

Access to withhold, and why

  • Anything the absent person held but the cover work does not need. Cover is not inheritance.
  • Staff management, unless approving people is the thing being covered.
  • Permanent additions made informally because it was easier than a temporary one.
  • Access with no recorded end, which is how temporary becomes permanent.

Rooms they belong in

Add the covered role's rooms for the period, and say publicly who is covering so the team routes to them rather than to the absent person.

  • The rooms the covered role uses, for the period only.
  • A visible note in the relevant room saying who is covering what, and until when.
  • Not private rooms or direct messages belonging to the absent person. Cover is not access to their conversations.
  • Not anything they held that is unrelated to the covered work.

Offboarding

Reverse it on the return date, using the written record rather than memory. This is the step that gets skipped, and elevated access looks entirely normal a month later.

Ask the cover person what they were unable to decide. It is the cheapest way to find out where the standing limits are set too low, and the answer usually improves the permanent arrangement.

If cover keeps recurring for the same role, the honest conclusion is that the permanent limits should be raised rather than the access repeatedly borrowed.
